Presentation Guidelines
This page provides important instructions for registration, oral presentations, poster sessions, virtual participation, and certification. Please review them carefully to ensure a smooth and well-organized experience.

Registration Guidelines
- Conference registration begins at 08:00 AM (local time) at the event venue.
- The exact meeting/conference room details will be shared in the final program schedule.
- The registration desk remains open from 8:00 AM onwards throughout the event days.
- Upon registration, participants will receive
- Conference badge
- Event folder
- Program schedule
- Abstract/meeting book (if applicable)
- Lunch vouchers (to be submitted to venue staff during lunch service)
- Onsite coordinators will be available to guide participants and answer queries at all times.
Oral Presentation Guidelines
- Minor program adjustments may occur; presenters are advised to stay available from the start of the session.
- Each speaker is allotted 20–25 minutes, including introduction and Q&A.
- Recommended speaking time: 17–19 minutes
- The conference language is English.
- Presentations must be submitted in PDF or PPT format.
- Submit slides 15 days before the event, and carry a backup on a flash drive.
- Ensure that your presentation runs smoothly before your session begins.
- Meeting rooms are equipped with
- Laptop & digital projector
- Screen
- Wireless and podium microphones
- Pointer/slide changer
- Basic sound setup
- Using personal laptops is discouraged unless essential due to compatibility or technical considerations.
- Windows users must confirm compatibility with the MAC system used at the podium.
Poster Presentation Guidelines
- Poster numbers will be assigned in the final program.
- Presenters should mount their posters 1 hour before the session begins.
- Materials for fixing posters will be provided at the venue.
- Poster dimensions: 1 meter (W) × 1 meter (H).
- Posters must be prepared in advance; onsite printing is not available.
- Presenters must remain near their posters for the full session for interaction and discussion.
- Posters must be collected by the end of the day; unclaimed posters will be removed.
- Best Poster Awards will be selected by appointed judges and announced after the poster session.
Virtual Presentation Guidelines
- Virtual presenters will receive a personalized meeting link and login details a few days before the event.
- Please join at least 30 minutes early to avoid any last-minute technical issues.
- Each virtual speaker is allotted 20–25 minutes, with 17–19 minutes for the main talk and the rest for Q&A.
- Presenters should keep their slides open and ready before the session begins.
- If you prefer not to present live, you may submit a pre-recorded presentation (with slide deck) at least 10 days before the event.
Certification Policy
- All registered participants will receive a Delegate Certificate signed by the organizing committee.
- Certificate details (name, affiliation, etc.) will be printed as per the registration records.
- Requests for corrections must be submitted one month before the event.
- Certificates will be distributed either during the session or at the session’s end—ensure you remain present until completion
- E-certificates will be emailed within 2–3 working days after the event concludes.
- Co-authors who are not registered will not receive certificates.
Cancellation & Refund Policy
For Attendees
- Cancellations made 30 days or more before the event are eligible for a refund, subject to administrative charges.
- Cancellations made 15–29 days before the event are eligible for partial refund.
- Cancellations made within 14 days of the event are non-refundable.
- Registrations can be transferred to another participant upon request (approval required).
For Presenters
- If a presenter is unable to attend, they must notify the team at least 15 days in advance.
- Transfer of presentation slots is possible under certain conditions.
- Virtual presentation options may be offered based on availability.
Event Cancellation by Organizer
In case the event is rescheduled, postponed, or canceled due to unforeseen circumstances:
- Participants will be notified immediately.
- Refunds or credits will be issued based on the situation and organizer policies.
